Management of ship’s certificate
Upon completion of survey and receipt of new certificates on board the Master shall retain the original on board the ship and send a copy to the Company for record. The Master must prepare 1 full set copy of all certificates on board for back up.
Maintenance of Certificates
Ship's certificates shall be controlled and managed by retaining the originals on board the ship and copies at the Company so that they are properly renewed before expire. The Master shall prepare a list of ship's certificates retained on board using form S-36A or S-36B, and update it whenever classification surveys, statutory surveys etc., are conducted.
Following the survey the Statutory Authority or Classification Society will either:
- Send the “Original” new Certificate or Survey Report to the Company
- Leave the original Certificate / Survey Report with Master and send a copy of the certificate / report (usually attached to their invoice) to the Company.
If the Original certificate / Survey Report is sent to GBLT, the Superintendent will arrange for:
- a. The Original to be sent immediately to the Master of the vessel after taking a copy for the Department files.
- b. The copy of the certificate / report is filed in the vessel's Certificate file held by the Company in Jakarta .
If, as occurs occasionally, the Original Certificate / Survey Report is issued/made out by the Surveyor whilst aboard the ship and then given to the Master, he (the Master) will immediately arrange for a copy to be fax to the company.

The Master will, on receipt of the Original Survey Report / Certificate, ensure the document is filed in the vessel's official certificate file together with all other Trading Certificates.
